Who we are

Athlete Mannies & Nannies ("we", "us") is the trading name of AthleteMannies Limited, a company registered in England and Wales (company number 09786682) with its registered office at 39 Church Lane, Teddington, TW11 8PA. We are the data controller for the personal data described in this policy. You can contact us about it at richard@athletemannies.com or on +44 7817 780423.

The information we collect

Depending on how you deal with us, we collect:

  • Enquiries: your name, email, phone number, area, your children's ages, the type of care you need, their activities, your preferred start date and anything you tell us in your message.
  • Families we work with: contact and address details, your children's names, ages, routines and needs, the care arrangement, payment and payroll details, and messages between us.
  • Nannies and carers: contact details, CV, references, ID and Right to Work documents, Enhanced DBS check results, First Aid certificates, interview notes, availability, and pay and payroll details.
  • Calls, emails and WhatsApp messages you send us.

How we use it and our lawful basis

UK GDPR requires a lawful basis for each use of personal data. Ours are:

  • To reply to your enquiry and match you with a carer: steps taken at your request before a contract, and our contract with you once you sign up.
  • To vet carers, including DBS, Right to Work and reference checks: legal obligation and our legitimate interest in keeping children safe.
  • To run payroll, invoicing and keep tax records: legal obligation and contract.
  • To provide backup cover and support during a placement: contract.
  • To improve our service and keep in touch about it: legitimate interests. We only send marketing if you have agreed to it, and you can opt out at any time.

Sensitive information

Some information is more sensitive, such as a child's health or additional needs, or a carer's criminal record check. We only collect it where we need it to provide safe care, we limit who can see it, and we process criminal record information only as UK data protection law allows for safeguarding and employment checks.

Who we share it with

We never sell your data. We share it only where needed:

  • Between a family and the carer they are matched with, so the care can be arranged.
  • With the Disclosure and Barring Service and its registered umbrella bodies, and with referees, to vet carers.
  • With payroll, pension and insurance providers, HMRC and other authorities where the law requires.
  • With the service providers that run our website, database, email, booking calendar (Calendly) and messaging (WhatsApp), under contracts that protect your data.

International transfers

Some of our service providers may store data outside the UK. Where they do, we rely on UK adequacy regulations or approved safeguards such as the International Data Transfer Agreement.

How long we keep it

  • Enquiries that don't lead to a booking: up to 2 years, then deleted.
  • Records for families and carers we work with: up to 6 years after our relationship ends, to meet tax, accounting and legal requirements.
  • DBS certificate information: we record the result and certificate number, and don't keep copies longer than needed.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct data that is wrong or incomplete.
  • Ask us to delete your data, where we no longer need it.
  • Object to, or ask us to restrict, how we use it.
  • Ask us to transfer data you gave us to another organisation.
  • Withdraw consent at any time, where we rely on consent.

How to make a request or complaint

Email richard@athletemannies.com. We will reply within one month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113, but we'd appreciate the chance to put it right first.

Cookies

Our website doesn't use advertising or analytics cookies. If you build a custom timeline on our site, it is saved only in your own browser and is never sent to us. Sites we link to, such as Calendly, WhatsApp and Google, have their own privacy policies.

Keeping your data safe

We use access controls, encrypted connections and reputable providers to protect your data, and only people who need it can see it.
